Property Management Software for Airbnb: Features & Pricing

The price on the website is rarely the price you end up paying. That’s true for most software, and it’s especially true for property management software for Airbnb, where the headline number might be per listing, per booking or a share of your revenue, with extras layered on top. Features have the same problem. Two products can both list “messaging” and “channel manager” and still behave very differently in practice. This article walks through the features you’re likely to be offered, the common ways vendors charge for them and a simple way to work out what a product really costs you, using your own numbers. It’s written for hosts weighing up options, so there’s no ranking here, just the questions that tend to separate good value from expensive surprises later on.

The features, and what to look for in each

Calendar and channel sync comes first. Ask how fast it updates and how it connects to Airbnb. Guest messaging should offer templates and event-based triggers, plus one inbox for all your platforms. Task management should create cleaning jobs from real bookings, with a simple view for cleaners. Payments cover card processing, deposits and refunds. A direct booking page lets guests book from your own site. Reporting should show income, occupancy and nightly rate per listing. Pricing tools suggest rates, sometimes from market data, though the quality varies widely, so test them against your own judgment. Accounting and owner statements matter if you manage homes for others. Within each feature, the difference is rarely whether it exists but how much effort it takes to set up and how reliable it is on a busy weekend, which is why a trial is worth more than any feature table. Some products also bundle extras like smart lock integration or review management, which are useful if you’d really use them and a distraction if you wouldn’t, so decide which ones are on your must-have list before you look at a demo.

How vendors charge

There are a few common pricing models. A flat fee per listing per month is simple and predictable, though it can feel steep for a low-earning listing. A percentage of booking revenue, often a small single-digit share, scales with your income, which is easy to start with and can get expensive as you grow. Tiered plans bundle features and a set number of listings, and you move up a tier as you add more. Some vendors charge a flat monthly subscription regardless of size, which tends to suit larger operators. On top of the base, add-ons are common, including payments, messaging, extra users, pricing tools and setup. Always ask whether the figure you’re quoted includes everything you need, and get the real monthly total for your listing count in writing before you agree to anything. Also check whether prices are quoted monthly or billed annually, since a discounted annual rate can look cheaper until you realise you’re paying a full year upfront.

A worked example, with made-up numbers

Say you run 10 listings, and each earns about 2,000 a month. Total monthly revenue is 20,000. Vendor A charges 15 per listing per month, which is 150 a month whatever you earn. Vendor B takes 1 percent of booking revenue, which is 200 a month and rises as your income rises. Vendor C charges a flat 120 a month but adds 20 for payment tools and 30 for messaging, so it’s really 170. At a quick glance Vendor C looked cheapest. In practice A is the cheapest at this size, B costs the most now but shrinks in a quiet month, and C sits in the middle. Change the listing count or the income and the order changes too. These numbers are invented, just to show the arithmetic, so redo it with real quotes. Then add one more line for your time: if a product saves you five hours a month, what is that worth to you?

Hidden costs to ask about

Hidden costs are usually small on their own and add up over a year. Payment processing fees, which may be separate from the software fee. Per-message charges for SMS. Setup or onboarding fees. Extra charges for additional users, such as a co-host or a bookkeeper. Fees for connecting extra platforms. Minimum contract lengths, and what happens to the price if you cancel a listing partway through. Ask each vendor to list every charge you might see in the first year, then compare those lists side by side. Also ask what happens at renewal, because an introductory price that jumps after twelve months is common. If a vendor is relaxed about writing all of this down, that’s a good sign. If the answers keep changing between calls, treat that as a reason to be careful, and keep asking until you get a number you can put in a spreadsheet.

How to judge value, not just price

Judge value by what the software saves you, not only by what it costs. Count the hours saved on messaging and admin, the cost of a double booking avoided, and any commission saved through direct bookings. A product that costs more but quietly prevents one refund a year, and trims five hours a month of copying and pasting, can easily be the cheaper choice overall. Compare vendors using the same listing count and the same list of needs, and make each one put the total in writing. A cheap tool that you stop using after two months is the most expensive option of all, so think about how it feels in daily use too. Ask your cleaner or co-host for their view before you decide, since they’ll see the system differently from you.
