pms trends 2026

How has technology changed the way we live our daily lives in the last 15 years; we all know the answer to this question. But how do you feel this question will be answered in 2030; probably, things will be rather different than we can predict. Hotel technology is no exception; it is rapidly shifting, and new systems are standards quicker than ever before.

The AI-Powered Front Desk

Would you believe me if I told you that we have artificial intelligence in our industry, and it’s not just those simple chatbots that I’m sure we all get emails on all the time, to seemingly predict what a guest may desire? Well, we do. And what’s more, you probably are utilizing it in your direct booking engine or legacy booking engine.

These AI PMS use cases connect perfectly with back-of-house processes too. When housekeeping schedules are automatically optimized based on real-time arrival data, your AI can also forecast how many front desk staff are needed and when, based on your historical reservation and check-in data. This helps cut labor costs and ensures there are enough staff to handle high demand during off-peak check-in times.

Mobile and Tablet Dominance

Front desk check-in is slowly becoming a thing of the past. Imagine yourself at a hotel. You head inside, dragging your suitcase behind you, tired after a long trip. You’re greeted by something you haven’t seen before; an empty front desk.

But what about the staff? Isn’t it time they reaped the benefits of mobile hotel management tools that allow them freedom of movement while ensuring they have everything they need to help guests throughout the property at their fingertips?

Revolutionizing the Check-Out Workflow

The process is completed just like that, one less hassle to wait in line for on the morning of their departure. Our research concluded that guests are very likely to use mobile checkout if their hotel offers the service. This is especially good news for us because mobile checkout typically results in guests taking one minute, versus the five minutes it can take at the front desk. And more minutes equals more money.

And what if we take it a step further? This isn’t just for the front office, it’s a back-office dream too. The system automatically changes room status to ‘dirty’ in the housekeeping module. And it can even auto process refundable incidentals. It’s fast room turnover, and flawless final guest touchpoint.

Choosing a System: Independent vs. Chain

Which is the best hotel property management system? I suppose the answer to that question probably depends on the type and size of your property. Independent hotels, for instance, may not need (or be able to afford) all the complexities rolled into the systems built for extremely large chains. So, if you’re an independent hotel, what should you look for in a property management system? The best ones are relatively simple to use, provide great flexibility, and work well with other third-party systems you might want to use at your property. Here’s what I mean by all that.

On the other hand, a standalone pms for independent hotels focuses on providing unique, personalized services to its guests. It is more flexible in terms of rate configuration and loyalty program management. It does not have the regulatory overheads for compliances as in hotel chain pms.

Specialized Property Needs

Wouldn’t your adventure-loving guests appreciate starting their day with a guided hike through the stunning surroundings and ending it with a blissful, stress-melting massage? Your spa would be booked solid, with satisfied, relaxed guests. How will you keep track of all that activity? We think you get the point.

What about paid vs. free systems? I’m not sure anyone really knows the best choice. It’s not as simple as saying that free systems are no good or that paid ones always offer excellent quality. Are there free systems that work well for you? What aspects might deter users from paid ones?

Implementing New PMS Trends

Now that we’ve seen what’s on the horizon for 2026, let’s explore how to actually apply these trends to your operations. What are some of the tactical steps you could take?

How can you best prepare for a digital revolution in your organization? First and foremost, ensure that any new system you invest in offers robust training and support. After all, what’s the point of shiny new technology if your team isn’t confident using it? A new system can have all the right tools to revolutionize the way you work, but if your staff isn’t on board, it’s bound to fail. They are the ones who will be using it day in, day out, inputting crucial data and making decisions based on the insights the system offers. So, they need to be sure they can rely on it. But more than that, they need to want to use it. And
